[1] FISCAL YEAR
A. The fiscal year of the club shall run from Jan 1-Dec 31
[2] MEMBERSHIP
A. Application for membership may be approved by majority of members attending regular meeting or special meeting upon payment to the treasure of membership fees
B. Dues for members shall be set by the executive and voted on at annual meeting. Dues are payable on or before the 31st of Dec for the ensuing year
C. The name of any member may be removed from the clubs register upon the passing of a resolution by at least two thirds of the votes cast at a general or special meeting of the membership or upon non-payment of dues within two months after such dues are due
D. Any member in good standing including previous officers shall be eligible for office, except an officer of this club may not hold office in other a.t.v. Club
E. One membership includes all persons living in that household except children over 18 .Members must be 18 years of age to vote and may not vote by proxy
F. At all meeting each member shall be entitled to one vote and every question shall be decided by show of hands, unless a secret ballot is demanded by any member
[3] OFFICERS
A. Any questions pertaining to the interpretation of the by-laws and any matter not provided for
therein shall be decided by the executive and their decision shall be binding unless rescinded at the annual meeting
B. In the event of inability or unwillingness of any of the executive officers to preform their duties
then a special election may be called to replace them
C. Any member of the executive cannot miss any more than four meetings in any one fiscal year
All members of the executive must be in good standing to hold office
D. Officers or representatives of this club shall not voice a personal opinion to the public communications media unless such an opinion has been approved by a majority vote of the executive
[4] MEETINGS
A. meeting will be held on the second Wednesday of each month at 7:30 pm unless canceled one prior. The meeting place shall be chosen by the executive
B. Meetings shall be convened at the call of the president or at the majority of members
C Questions arising at any meeting shall be decided by a majority of votes. In the event of an equality of votes the chairman shall have a deciding vote
D. No public notice or advertisement of members meeting,annual or special, shall be required-but notice of the time and place of such meetings shall be made by phone to each member not less than 7 days in advance in the case of a general or annual. Not less than 3 days in the case of special meetings
E. A declaration by the chairman that a resolution has been carried and an entry to that effect in the minutes shall be sufficient evidence of the fact without proof of the number of proportion of votes cast
F. A quorum at a general/ annual/ special meetings shall be 20% of the paid members of the club which includes at least two members of the executive
[5] FINANCIAL MATTERS
A. All cheques and other formal documents shall be signed by the treasure and either the president or vice-president
B. All members shall serve the club without pay but may be reimbursed for out of pocket expenses incurred by them from time to time
C. A financial audit may be carried out at any time by request of majority of club members
[6]GENERAL RULES AND REGULATIONS
A. Members may not use SUSSEX VALLEY ALL TERRAIN name or logo without permission from the executive
